What is a Committee of Management?

Diamond Creek East Preschool is a community-run, not-for-profit association providing three and four-year old kindergarten programs. The Committee of Management is made up of volunteer members who are appointed annually. The Committee manages the kindergarten’s affairs and legal responsibilities, acting as employer to support staff and to allow the best learning outcomes possible for the children.

Volunteers are vital to the ongoing operation of the organisation. Our volunteers contribute to the kindergarten, the children in our community, social cohesion and friendship. There are formal aspects to what we do like staff support and management, and submitting data to the state government. There are also lots of fun and social things we do too from supporting the children's activities, community and fundraising events, and general maintenance.

President - A busy, important, but very rewarding role

  • Be well informed of all kinder activities and have oversight of these activities
  • Be able to develop good relationships with stakeholders internally and externally
  • Be forward thinking and committed to meeting the overall goals of the kinder
  • Have a good knowledge of the Constitution
  • Be able to work collaboratively with other Committee Members
  • Chair monthly meetings
  • Point of contact regarding employment related issues
  • Replace teachers when absent
  • Facilitate resolution of differences/grievances (should they arise)
  • Principle point of contact for relevant council, government departments, Early Learning Association of Australia (ELAA) and other external bodies

 

Vice President – an important and rewarding role

  • Create and distribute a monthly newsletter to families
  • Providing support to the committee members to ensure the kinder’s efficient operation
  • Coordinate children’s uniform sales

 

Secretary – a terrific role for the highly organised person

  • have a good knowledge of the Constitution
  • Coordinate committee meetings including venue booking, agendas and minutes
  • Coordinate annaul events such as the Annual General Meeting
  • File documentation and correspondence as required and within deadlines
  • Complete compliance forms and data input to online portals for government departments

 

Treasurer – for the person who is good with numbers

  • have a good knowledge of the Constitution
  • In consultation with the committee ensure the financial responsibilities of the preschool are met
  • Assisting the contracted bookkeeper
  • principle contact for bookkeeper
  • Online banking and coordinating signatories to the account/s
  • Prepare financial reports for committee members as required
  • Raise financial concerns with committee

 

Enrolment Officer - A great role for building relationships with kinder families

  • Liaise with Nillumbik Council regarding four-year old enrolments
  • Respond to enquiries regarding three and four-year old kinder programs
  • Prepare and distribute letters of offer for three-year-old enrolments;
  • Process three-year-old enrolments;
  • Prepare and distribute letters regarding children’s orientation
  • Keep enrolment forms and policies up to date
  • Coordinate the preschool open day/s and events aimed at gaining new enrolments

 

Fundraising Coordinator - This is a role that requires terrific organisational skills, and is great fun!

  • Lead the planning and co-ordination of all fundraising events throughout the year
  • Chair the fundraising subcommittee and report to Committee of Management on progress and decisions requiring authorisation
  • Monitor incomings and outgoings in relation to fundraising and report progress to the Committee of Management
  • Bank and record fundraising money

 

Maintenance Coordinator – this is a role for the handyman or handywoman!

  • Liaise with the council, staff and contractors regarding maintenance requirements
  • Organise roster system for weekend duties & working bees

 

Community and Communications Coordinator – for the social media savvy person

  • Coordinate (usually with the Enrolment Officer) the kinder’s involvement in the Diamond Valley Early Years Expo, Diamond Creek Town Fair and other community events
  • Coordinate links and events with Diamond Creek East Primary School
  • Principle contact for maintaining the official kinder website and social media page
  • Liaise as required with media outlets (newspapers, other organisation’s newsletters, websites etc) for overall advertising of the kinder with the aims of increasing enrolment and fundraising outcomes

 

General Member - A great way to help out, make friends and be part of a team

  • Attend the Committee of Management meetings (monthly) and AGM
  • Providing support to the committee members to ensure the kinder’s efficient operation
  • Other duties and special projects as required
